Disaster Recovery: Developing the Perfect Communications Plan for Your Business

How do you efficiently balance crisis communications? It’s not the easiest question to answer, but it’s a critical one to hammering down your organization’s internal and external communications plans in preparation for emergencies.  In light of this, Agility Recovery, a company offering disaster recovery plans and business continuity solutions for small- to medium-sized businesses (SMBs), presents a checklist of sorts to help guide the developmental process of solidifying a DR/communications plan.

So without further ado, there are three steps the company suggests to build an indestructible communications plan for disaster preparedness: Perform a general risk assessment, establish a crisis management team with the proper emergency tools, and develop a tactical response plan for voice and phone redirection.

What to consider when performing a general risk assessment:

  • Identify the top threats to your organization and/or any potential vulnerability
  • Analyze what business functions are critical to your operations
  • Identify the resources needed to protect those critical business functions (ie. people, processes and the technology required or associated with each)

What to consider when establishing a crisis management team:

  • Develop and regularly update an emergency contact list, including home phone, alternate/cell phone, personal e-mail, family contact information and most importantly, an evacuation plan
  • Consider setting up an alert notification system capable of multiple means of communications to employees, stakeholders and clients (Be sure to test this system regularly to ensure operability – a system that doesn’t work is no help!)
  • Make sure that your employee, vendor and supplier mobile voice communications are not dependant on just one single network. By utilizing multiple carriers and training all critical personnel on the use of text messaging, you’ll guarantee a more sound communications plan.
  • Ensure that new hires can be easily integrated into your crisis communications plan
  • Consider establishing a public hotline or ‘dark’ website that can be easily activated on short notice to provide information to your community during an emergency
  • Establish a universal and easily accessible database with company information and disaster strategies/plans. Some vital information in this database should include company background information, critical documents, key contacts and passwords.

What to consider when developing a tactical response for planning voice/phone redirection:

  • Set up processes and plans to re-establish your network connectivity, including e-mail, a virtual private network (VPN) and remote services, which can reduce downtime and more quickly solve equipment lock-ups.
  • Stay in touch with key vendors and suppliers – the only way to ensure a seamless transition in the midst of an emergency is by ensuring that you’re first on the same page
